Pickup

Pickup tracks what happens to a finished print: where it is stored, whether it has been collected, and what to do if it is overdue.

The module is optional and enabled for the whole organization. Bins can serve one or several sites. Start with Turning pickup on.

Choose your workflow#

Workflow	How it is recorded
Staffed counter	Scan a label, check the owner, and confirm handover.
Self-service shelves	Run regular bin checks to find prints no longer present.
Scanner by the shelves	Record drop-offs and confirm collections at a pickup station.
Direct handover	Give the finished print to its owner before shelving it.

These workflows can coexist. The screen being used determines what a scan does. See Collecting prints and Pickup stations.

The life of a finished print#

State	Meaning
Not put away	Tracked, but not confirmed on a shelf.
Ready to collect	Recorded in its bin.
Collected	Recorded as handed over or inferred collected after a bin check.
Missing	Not found where expected; needs investigation.
Abandoned	Past your organization’s collection policy; can still be collected.
Disposed of	Thrown away or recycled.
Cancelled	No physical print worth tracking.

The record distinguishes a witnessed handover from a collection inferred by a bin check. Marking a print overdue or abandoned does not dispose of it physically.

Where to look#

• Pickup in the main sidebar shows waiting prints and actions such as collection and bin checks.
• Admin → Settings → Pickup handling controls assignment, put-away behavior, deadlines, and missing-print handling.
• Admin → Pickup manages bins.
• Admin → Automation manages reminders and follow-up actions.

The owner can see a Collection section on their job’s detail page. Staff with pickup access can inspect the same information for other jobs.

Unresolved pickup records protect their related jobs from normal data retention, so a print still waiting does not lose its identifying record.
