Universities & makerspaces

Student printing, without the inbox.

Students submit in one place and check on their own prints. Staff approve jobs from a checklist, keep the printers busy, and finally have usage numbers when the department asks.

Innovation Studio
The dashboard for an engineering makerspace: active printers, jobs awaiting review, and live progress for each printer

What gets hard

The printers aren't what keeps staff busy.

Files arrive everywhere

Email, Teams, shared drives, a USB stick at the desk. None of it is a queue, and none of it says who the print is for.

Everyone asks for updates

If students can't see their own jobs, they ask. Multiply by a few hundred students and that's somebody's whole shift.

Nobody can say what the lab does

When the budget review comes, there's no reliable count of jobs, hours, material or failures to point to.

For students

One place to submit, and no need to ask.

  • Submit from a browser or a kiosk
  • Their own jobs, with live progress
  • Email when a print finishes or fails
Station
The kiosk in the lab, showing each printer's current job and progress

For staff

Approve from a checklist, not a chat thread.

  • Approvals by role, including student staff
  • Quotas so a few people can't fill every printer
  • Time-limited print restrictions, with a reason
Review
The review checklist for a student's job, with staff review still needed

For whoever runs the lab

Usage reports that answer the budget question.

  • Usage by course, department or person
  • Material and print time for lab fees
  • Utilization per printer, for the next purchase
Analytics
Print jobs per day over a semester month, by outcome

Also included

The things labs ask about next.

  • Single sign-on with your campus login (SAML, OAuth, CAS)
  • Card, PIN or phone QR sign-in at kiosks
  • Pickup bins, labels and scan-out
  • Emails branded with your lab's name and logo
  • Several rooms or buildings as separate sites
  • One-click reprints of failed jobs
  • Printer downtime with a visible reason
  • Automatic cleanup of old jobs and files

Before you start

Four decisions to make before the semester starts.

What to collect at submission
Course, project, advisor, cost center. Ask for what your reports need and nothing more.
Who can approve
Full-time staff only, or trained student staff too. Roles let you decide per person.
What's fair
First come, first served is easy to defend. Add quotas if a few people tend to fill the queue.
How parts get back to people
A shelf by surname, a bin per person, or staff choice. Pickup handles all three.
